TED Tutorials – Email Basics part 2

The Elder Divide show

Summary: Email Basics part 2 This will cover the basics for Contacts or your online address book plus calendars in Gmail. You can get to these by clicking on the Gmail pulldown menu just be low Google in upper left corner of your gmail account when open. It will show Gmail, Contacts and Tasks. Click on Contact to get into your address book. For Calendars you will need to click on the white rubics cube like icon for apps next to your email address in upper right corner of open Gmail. This will show various apps available but for now we want to click on Calendar for this section when we get to it. For Contacts if you are using for the first time there will be nothing or if you have you have not changed the Settings, General tab it will add people for every message you send if they are not in the address book already by default. If you don't want this feature then go into your Settings, General tab and (Create contacts for auto-complete:) check next to (I'll add contacts myself) then Save Changes at the bottom of General tab. You can add people to your Contacts at any time manually. Also if you are using it for the first time lately you will see a new interface change from Google. You can leave this new preview by clicking on Leave the Contacts preview. This will get you back to regular Contact in which you can add by clicking on New Contact or selecting current contacts and editing, deleting, importing, exporting or printing using pulldown menus. Clicking on Settings in upper right lets you change language, country, page size and keyboard shortcuts. While in contacts you can search or put contacts in groups you create like friends, business or whatever you setup. Also if you delete a contact by mistake or need it later you have thirty days to recover them before they are permanently gone. When you add a new contact it can be setup as Standard or Business format. Things you can add to contact is Email, Phone, Address, Birthday, URL a note and other things under the Add pulldown menu. Business adds things like Company name, Work Phone and others under Add pulldown menu. You can also set a Picture or Title to both types of Contacts. This should give you everything you need to create your Contact lists. Next we have Calendars you can get to as stated in first part of this tutorial. Then just click on Create and add your event. It has many features and can be setup as Public or Private, plus things like location and emails or recurring events. As with any online product you can access this from any location after you sign-in to your web Gmail. You can even setup Notifications to your phone of upcoming events. It even allows for location and display on Google Maps. Other features are also available. It can be setup to Day, Week, Monthly 4-Days or Agenda view of your Calendar. Multiple calendars can also be created if needed. Sharing is available. You set the preferences and who can see or edit events. Say you want to have your own Calendar but still need to keep appointments for your elder family member separate, this can be done in Settings under Calendars tab then go down to Create new calendar. From there it is self explanatory. Under the Settings in upper right corner you can customize many features to your needs for General, Calendars, Mobile Setup or Labs. Just play with them and see if they are what you want. Most are self explanatory. Also using multiple calendars with events, you can have notifications sent to that persons phone to keep them on track. These standard ways to work with contacts and calendars only work if you are using a compatible web browser. They are Google Chrome, Mozilla Firefox, Apple Safari and lastly Microsoft Internet Explorer that I suggest you not use, also it does not support desktop notifications. Opera is another good web browser but not on the supported list, but it may work fine. Contacts or Calendars can also be synced with other programs or devices. References:
